Meeting Facilitation
We'll help you stay on track for more effective meetings.
Why Invest in Facilitation?
The fact of the matter is that meetings are the most used means of group communication in today's business world. Studies show that although the duration of meetings has been increasing over the years, the effectiveness has not.
From personal experience I know this to be true. This is in fact a key issue that has driven me towards opening a business such as Tidy Tiger Solutions. I can use my skills to help organizations and people be more effective and that drives me forward.
What The Tiger can do:
To summarize, I help groups which want meetings that are productive and well planned to achieve their desired results.
My primary goal and responsibility is to guide the meeting process so that all the members are able to actively participate in accomplishing the purpose of the meeting.
I coordinate with the meeting planners, prepare the agenda, arrange record keeping, prepare the facility and tear down afterwards, ensure adherence to timeline and agenda, keep the meeting on track and suggest ways to aid in further idea generation.
I also will suggest and arrange teambuilding games and icebreakers while remaining independent from the group. I encourage participation, ideas and discussion while managing conflict or inappropriate behavior. I do not however help to make decisions, as a facilitator my job is to help the group to come to their own best conclusions.
Ice Breakers:
Meeting Icebreakers are used mainly during meetings with participants that don't know each other that well. At Toastmasters this is one of the very fist speeches a new member is encouraged to give to fellow members. Icebreakers are generally fun and easy as the topic, ourselves, is one in which everyone knows the most about.
Depending on the type of meeting and the profession of the participants there are a variety of icebreakers I can use. There may also be a theme to the meeting for which I can tailor an icebreaker for. Activities for goal setting, idea generation, trust building, planning and conflict management can all be incorporated into the meeting depending on the needs of the client.
Roundtable introductions are also a short but effective way to break the ice with other attendees. This is a simple as having participants share names and something personal about themselves with the rest of the group.
Invocations:
When invocations are something that meeting planners want to place on the agenda I will plan for time allotment but typically I do not personally open meetings with invocations.
If a meeting is for an important team building initiative, improving processes or for important change initiatives I would typically ask a member of management to kick off the meeting. This allows the manager to have 10-15min's to explain the purpose of the meeting, what he expects as a result and why it is important. The manager, during this time can choose to tell a joke, give a short speech or lead a prayer.
Are you ready?
Most managers recognize the importance of effective meetings and are looking to make their meetings more productive yet in many cases they may be too busy with day to day demands to be able to dedicate the time needed to facilitate a written agenda, record keeping and action tracking. That's where organizers and meeting facilitators such as myself come in.
